The Executive Assistant performs secretarial and administrative assignments of a confidential nature including, but not limited to, calendar management; scheduling meetings; booking meeting rooms; coordinating travel arrangements including booking travel tickets and settlement of related expenses. The incumbent also conducts administrative and office related project functions for multiple directors/managers and their teams.

  • Develops, analyzes, implements andoversees short-termand long-termstrategic business processes and plans to increase operational efficiency, meet strategic vision and achieve financial goals.
  • Develops, presentsandimplementsbusinesscaserecommendationsandtactical/operationalstrategiesbasedonanalysisof global and industry trends, company objectives and key stakeholders.
  • Manages, identifies and developsstrategicpartnershipswithbusinessfunctions,management,andotherinternal/externalstakeholders.
  • Identifiesandanalyzesthecompany'sstrengths,weaknessesandbusinessopportunitiestoadvise management and optimize business strategies.
  • Monitors industry trends, competitor actions, economicdevelopments and regulatory environment to identify and plan for expected impact on business operations.
  • Ensures the correct functioning of facilities, office and business support services.
  • Compiles, documents,communicates and verifies information according to established procedures.
  • Conducts business continuityplanning in order to assure that essential company functions can operate during and following major disruptiveevents.
  • Provides client and project administrative support (e.g., calendar management, expense tracking and visitorgreetings)foradepartment,groupor executivestomaximizeorganizationalefficiency.
  • Receivesandresponds to client and internal correspondence following established procedures.
  • Work is focused on supportingindividuals,smallteamsordepartmentsincluding:documentediting,proofing,formatting,andproduction.
  • Identifies, enhances and follows specific processes and procedures to maximize efficiency of routine supporttasks, equipment use and staff resources.
  • Provides support activities to an office, business unit, department orother company group.
  • Coordinates delivery of office and business support services.

  • Draftsemailsandotherdocumentationasinstructedforreviewbymanagement.
  • Preparespurchaseordersasrequiredandobtainstheappropriateapprovals.

Bachelor's Degree preferred (or equivalent work experience)

For NYC Job Applicants: The base hourly pay range for this position is $34.77/hr.-$48.38/hr. The exact compensation may vary based on skills, experience, training, licensure and certifications and location.
